access award records and payments
Records for awards paid through Graduate Studies can be found in 3 places: GA3, go51ÉçÇøºÚÁÏand eTRACS:
- GA3 has past and future award records (awards that are applied for, offered, accepted, paid)
- goSFU and eTRACS display paid records only.
- Award records are transferred from GA3 to go51ÉçÇøºÚÁÏon a regular basis (right before a scheduled payment date).
- For the payment schedule visit the Award Payments + Policies (public facing page)

How to access Award Records in GA3
Use these instructions when you want a report on all awards (offered, accepted, paid, future). You can run this report at any time, but GS staff offers awards (and students accept) up to the beginning of each term.
In GA3, click the Reports tab, select Award Application Records:
- Choose either Search or Advanced Search
- Select your search parameters; do not use Award Group or Final Recommendation
- View or export your records into excel
The Application Created Name shows the last name of the individual who created the application.
Award status and pay terms are the same as go51ÉçÇøºÚÁÏterms (see below)

How to access Award Records in go51ÉçÇøºÚÁÏ(GS Award Download)
Use these instructions when you want a report on paid award records. The best time to run this report is the 5th or 6th week of the term, after all award adjustments have been made and any cancelations have been completed.
This same information is available in GA3 (go51ÉçÇøºÚÁÏsends the award status back to GA3).

In , find the GS Award Download:
- Enter your Control ID (or hit Search and click your ID) and enter the desired Search Parameters.
- Click Save and the Run button (top right)
- When directed to Process Scheduler Request, click OK
- When back on the GS Award Download page, click Process Monitor
On Process Monitor, your request should show in the Process List table and may take a few minutes (you can click refresh). When the Run Status changes to Success and Distribution Status will changes to Posted your report is ready.
To access and save your report:
- Click Details, then click View Log/Trace
- Click on the file name (will end with .csv) to open report
- Save as an xls
On GS Download, enter desired Search Parameters (see below), click save and run:
On Process Scheduler Request, click OK. On process monitor, click Details when your report shows success:
Click view log/trace. When you land on the Process Monitor page, click the csv file:

Term Codes
You can run a report for one term or a range:
- 1237: Fall 2023
- 1241: Spring 2024
- 1244: Summer 2024
- 1251: Spring 2025
- 1254: Summer 2025
- 1257 Fall 2025
Future terms won't exist in your report because only previously paid awards are stored in goSFU.
Appl Status (goSFU)
Leave this blank when you run the report to capture all:
- ACC: accepted (not yet paid)
- CAN: Cancelled
- DEF: Deferred
- DIS: award disbursed (paid)
- PSTD: posted (not yet paid)
