Forms Automation Project
1. Replacing PDF Forms

  • We are converting student PDF forms into a digital, automated workflows.
  • Forms submitted by students are now routed directly to the appropriate reviewers (e.g., supervisors), who receive email notifications when action is required. 
  • This reduces manual handling, improves tracking, and speeds up processing times.

2. Replacing Grad Progress Report (GPR)

  • We are moving the Graduate Progress Report out of go51社区黑料and into Microsoft Forms.
  • This will automate the workflow and allow the form to be routed appropriately.
  • Correspondence has/will be sent to GPC and GPA lists (search 'GPR' or 'GPR Form Project'.
  • An Information/Feedback sessions was held (March 10) and feedback survey was available (March 2026).  

Awards Enterprise Management

  • We are replacing GA3 with a new awards management system using a Blackbaud solution.
  • This system will support funding managed by Graduate Studies and Financial Aid & Awards in collaboration with University Advancement.
  • Development will occur throughout 2026 with implementation scheduled for 2027.
  • Academic units will need to complete training in 2027, but can expect more efficient processes and an easier, more consistent way to run competitions and access award data.

Entrance Scholarships Workflow
(Workflow in Slate)

  • We have created a centralized entrance scholarship workflow in Slate.
  • Units invite eligible candidates to apply directly within the system and Slate creates a consolidated scholarship application by combining select admission documents with entrance award checklist items.
  • Units will be able to review applications and submit nominations for top candidates using a standardized nomination form in Slate.

Graduate Supervision Policy

  • GGR 1.6 Supervision, has been revised and passed by Senate with changes being published in the Fall 2026 calendar. FGS is supporting academic units in developing unit-specific supervisory guidelines aligned with institutional standards.
  • This project engages stakeholders (including FGSA) to identify concerns, gaps, and implementation challenges in developing and applying unit-level supervisory guidelines.
  • A customizable MS Word template has been shared with all units (via SharePoint Folders) to help units draft their guidelines.
  • Units must revise their template (with tracked changes) by August 1, 2026, followed by Graduate Studies review and submission to Faculty Deans for approval ahead of Fall 2026.
