Purpose

The APR is beneficial and has multiple uses for both students and graduate program staff/chairs:

Students

Once students are given access, the report can:
  • help clarify/navigate their program requirements
  • show which requirements are outstanding
  • reduce the chances that a program requirement is missed or misunderstood
  • record which requirements have had exceptions approved
  • be used as a planning tool by students in My Planner

The APR can be run for:

  • All PhD students who started their program after Fall 2007
  • All Masters, Diploma and Certificate students who started their program after Fall 2011

The APR cannot be run for exchange students, visiting research students, qualifying students, or non-degree students.

Staff Program Chairs

The APR be can used:
  • as a degree audit report
  • to verify whether students who have applied to graduate have completed all the program and university requirements
  • to record approved student exceptions, reducing miscommunications and misunderstandings
  • to show a student, who is considering transferring from one program to another, how their courses will apply to the new program using the "what-if" report type. (link to How To)

Access

Students, graduate program assistants and program staff with graduate program assistant access to other Grad Studies systems may have access to the APR. Select staff within Graduate Studies have access.

Timelines

Ideal timing for running the APR will depend on the following:

Graduate Program Staff 

Grad Studies staff should run the APR for any student applying to graduate.

Graduate Studies Office

Grad Studies runs the APR every term for all students who have applied to graduate. Academic units will be contacted if the report shows that a student has not met the requirements.

Requirement Exceptions

Program Requirement Exceptions 

If an exception to the program requirements for an individual student has been approved, the academic unit is required to submit a Student Exception Form so that the exception can be processed and appear on the student鈥檚 Academic Progress Report. University Requirement Exceptions 

A request for an exception to the minimum University requirements is submitted on Student Exception Form and is reviewed by the Dean of Graduate Studies. These types of exceptions are very rare and are considered on a case by case basis.

Roles & Responsibilities 

Students

Students are ultimately responsible for:
  • Being aware of their program requirements and time to complete
  • Notifying their program assistant with any concerns regarding the accuracy of their report
  • Reviewing the GGR sections on requirements to graduate prior to contacting program staff or Grad Studies staff with related questions.

Graduate Studies staff

Graduate Studies staff are responsible for:
  • Promoting, encouraging and providing the resources needed for staff to use the APR
  • Managing staff and faculty use and access to the APR
  • Keeping program staff updated of any issues or changes to the APR
  • Confirming that the program and university requirements have been met for all students who have applied to graduate.
  • Approving exceptions to university requirements (Dean of Graduate Studies only)

Academic unit staff

Academic unit staff is responsible for:
  • Promoting and encouraging students to use the APR
  • Assisting students in navigating university and program requirements for graduation
  • Approving or declining (and recording) any exception to program requirements in the APR
  • Requesting that specific program requirements display in the report
  • Checking their specific program requirements in the report and contacting Grad Studies with any discrepancies
  • Ensuring the appropriate requirement term displays in the student鈥檚 APR
  • Be aware of any changes to their program's requirements that may affect current students
  • Submitting a Requirement Change Form (link to how to section below?) for instances where requirements have changed and a student chooses to graduate under the new requirements
  • ensuring privacy/confidentiality of records and student issues
