General

Workflow Overview

  1. Admission Cycle Setup 
    Units roll over or set up their admission cycle, update program materials/websites, and inform Graduate Studies (GS) of changes needed in goGRAD/Slate.
  2. Application 
    Applicants must complete and submit the application form, pay the application fee, complete mandatory checklist items by the program deadline.
  3. Departmental Review 
    Units review applications and submit admission recommendations to Graduate Studies (GS). 
    • Submit early to avoid delays during peak periods. 
    • Non-admit decisions do not require GS review.
    • Units can invite select applicants to apply for Entrance Scholarships.
  4. Graduate Studies Review 
    GS verifies completeness and compliance with university standards within 3鈥7 business days. To avoid delays, ensure applications and checklist items are complete, condition and funding text are correct. 
  5. Decision 
    Admission decisions are released in batches on an ongoing basis.
    • Applicants receive an email notification to view decision letter in Slate.
    • Program staff can view letters and notification dates in Slate.
  6. Post-Decision
    Applicants have 21 days to respond to offers (extensions allowed).
    • Admission Reply Form is available in the application portal.
    • Units can run view decisions by checking Slate bins or running queries.

Acronyms + Terminology

The following section contains some acronyms and terminology specific to this business area, while others are defined within the related sections. For a full glossary of university terms visit University Glossary.

  • CAGS: Canadian Association for Graduate Students.
  • goGRAD/Slate: graduate admission system, launched in 2022.
  • GPC: Graduate Program Chair
  • IELTS: International English Language Testing System, measures English proficiency
  • Status Portal: the portal in goGRAD/Slate where admission applicants upload materials, invite referees, access admission decision letters and complete the reply form.
  • TOEFL: Test of English as a Foreign Language, measures English proficiency 
  • VRS: Visiting Research Student - admitted full-time to foster the exchange of ideas, receive specialized training and participate in research collaboration.
  • WDA: Western Deans' Agreement 鈥 students can register for courses at partner institutions, with approval.

Roles + Responsibilities

Applicants

During the application process, applicants agree that they have read and understood the Protection of Privacy Notice, Personal Information Collection Notice, Protection of Personal Information Notice, Personal Information Disclosure Notice. To summarize, they: 

  • confirm that they have read and understand SFU鈥檚 privacy notices and policies,
  • agree that 51社区黑料may collect, use, and store personal information and supporting documents (including referee information) to process and assess the admission application, verify qualifications, and manage admission, enrollment, and program improvement,
  • agree that if admitted, this information will become part of their student record,
  • authorize 51社区黑料to contact named referees to obtain references,
  • understand that some of their personal information may be securely shared with specific organizations, including the Graduate Student Society (for membership and health plan administration) and the Ministry of Post-Secondary Education and Future Skills, and may be further shared with Immigration, Refugees and Citizenship Canada for required administrative and evaluation purposes,
  • acknowledge responsibility to protect login credentials and personal information when accessing the application system, including on mobile devices.

Academic Units/Departments

Academic Units may be responsible for:

  • assisting applicants with program-specific application information and requirements,
  • approving exceptions to program-specific minimum admission requirements,
  • evaluating documents submitted by each applicant to determine if they meet the required criteria for admission; asking Graduate Studies if assistance is needed,
  • advising applicants of any deadlines for awards and teaching assistantships that may be earlier than the admission application deadlines,
  • maintaining their website with admission and program information (program-specific requirements, deadlines, supervisor information, etc.),
  • providing upcoming admission cycle information to Graduate Studies,
  • understanding the minimum university requirements for admission as outlined in the GGRs.

Graduate Program Chairs

Graduate Program Chairs are generally responsible for: 

  • overseeing the fair and punctual review of admission applicants,
  • completing and submitting the recommendation form for each recommended applicant correctly and completely, including any conditions and funding,
  • identifying entrance award candidates during the admission process. 

Faculty of Graduate Studies

Graduate Studies is responsible for:

  • assisting users with the application system and admission process,
  • assisting applicants with understanding university requirements,
  • providing access, training, resources and troubleshooting for staff and faculty using the admission system, including information on updates, changes, outages or issues, 
  • assisting units with reviewing documents for minimum requirements (once application fee has been paid),
  • verifying and processing admission recommendations, 
  • creating and releasing decision letters,
  • reviewing any exceptions to university minimum admission requirements,  
  • updating admission conditions based on documents received from admitted students.

goGRAD/Slate

Slate鈥檚 administrative side is the 鈥渂ack office鈥 where staff can check/modify materials and checklist items, update deadlines, and generate reports:

Slate鈥檚 Reader is the 鈥渞eview side鈥 designed for streamlining reading applications, scoring them, adding comments, and recommending decisions:

goGRAD/Slate: basic admission review process

Although users can see and access all bins in Slate, they don't need to use them all. The basic admissions process in Slate consists of the following 3 Reader bins: First Pass 鈫 Committee Review 鈫 GPC Review.

First Pass Bin: GPA or Manager adds applications to their Queue, uses the first pass form to review and move each application forward. 

Committee Review Bin: committee members add applications to their queue, using the review form to add comments.  The last reviewer or GPA/Manager moves the application forward.

GPC Review Bin: The Graduate Program Chair:

  • reviews applications and may convene a meeting for discussion/final decisions,
  • finalizes decisions, completes the recommendation form and moves the application to GS review for admission processing. 

Non-admit applications can be directly moved to non-admit bins (deny, withdraw etc)

Essentials

Admission Categories

Program staff must know the categories of graduate admission. Full explanations can be found in the noted Graduate General Regulations (GGRs).

Credential-Seeking Students
Most common; completing a graduate certificate or graduate diploma (GGR 1.3.41.3.5), master's (GGR 1.3.6a) or doctoral program (GGR 1.3.7a).

Non-degree Students
Non-degree students are admitted in order to complete one or more classes, and are not permitted to use these courses towards a degree from SFU. They normally should have at least a bachelor's degree or equivalent. Visit GGR 1.3.10

Readmission
Applies to discontinued students (no longer eligible for Reactivation) who wish to return to the same credential from which they were discontinued. A readmission application should be submitted, including an application fee. Information for students can be found on the Returning to Studies page. Visit GGR 1.4.8 and 1.4.9

Visiting Research Students
Visiting graduate research students at 51社区黑料typically work under the supervision of a professor at SFU. VRS students are not eligible to take coursework. Visit public facing VRS page

International Exchange
International exchange admissions are processed through SFU鈥檚 International Services for Students (ISS). Questions about exchange should be submitted to ISS, rather than Graduate Studies. 

Incoming - Western Dean's Agreement
The Western Canadian universities have agreed to allow students to take courses at each other鈥檚 institutions for credit to their degrees and at minimal cost (tuition is only paid at the home institution). 

Exchange Students
Graduate students at other universities who wish to complete courses at 51社区黑料will be admitted on specific recommendations. Visit GGR 1.3.11

Admission Types

All credential-seeking, non-degree and readmission applicants fit within one of the admission types listed below.

Admission
Applies to students who meet all university minimum requirements per the GGRs and have submitted all supporting documentation. For more details on rules and requirements regarding admission please refer to the GGR. Visit GGR 1.3.4-1.3.7

Conditional Admission
Applies to applicants who may not have submitted all supporting documentation (such as Official Transcripts) or who have been given specific requirements, such as completing one or more specified graduate courses within their first 1-2 terms, or achieve a particular CGPA within their first 1-2 terms.  Visit GGR 1.3.9

  • Conditions can be placed on the admission by the academic unit and/or by negotiation with Graduate Stuides. 
  • If your unit does not require official transcripts to be submitted until after applicants receive their Offer of Admission letter, then all admissions will be conditional.
  • A condition must be stated in the official letter of admission issued by Graduate Studies.

Qualifying Admission
Qualifying admission is no longer an option. GGR 1.3.8. will be updated in 2026. 

Conditional Admission: Accelerated Master's
There is no accelerated master鈥檚 program: it鈥檚 an opportunity for undergraduate students to take graduate-level courses during their bachelor's degree for a head start on their master鈥檚. 

  • You conditionally admit a student to a regular master鈥檚 program for a future term.
  • Students should be conditionally admitted prior to taking the courses.
  • The admit term usally follows the expected completion date of their bachelor鈥檚.

In addition: 

  • Minimum university requirements for eligibility, such as units and CGPA, are found in GGR 1.3 (Admissions).
  • A maximum of 10 graduate course units, used either as electives or upper division required courses at the bachelor's level, can be applied to the requirements for the master's degree.
  • Pre-approval is not required to recommend an eligible student, but an out-of-cycle admission may be required for a future intake.

Admission Cycle Setup

Units are responsible for updating their website and correspondence and letting Grad Studies know of any changes required in goGRAD/Slate. Current information (dates, form questions, supervisor lists etc) will roll over to the new cycle for units who do not submit the Set/Up Roll Over Admission Cycle steps and form.

Admission Application + Materials

Applicants apply for graduate admission in three steps: 1. completing the application form, 2. paying the application fee, and 3. uploading supporting materials. Applications move from Awaiting Materials to the First Pass automatically when required references and materials are complete.

The Application form is completed in goGRAD; units can customize sections of the form.

Materials are documents categorized by type (e.g., transcript, recommendation letter, CV). Material types determine how and in what order documents appear in the admission application file. The Checklist displays a list of required materials in the applicant鈥檚 Status Portal and the staff Application tab.

A Recommendation (reference) is a specific material type within Slate. Applicants enter referee information in the status portal (during step 3).

  • If you are a unit with a custom recommendation form, applicants will need to select your unit name in the Reference Type dropdown. Otherwise, applicants select Standard Form from the dropdown.

First Pass

Applications will land in this bin automatically once all materials are uploaded. Program staff can use this bin to verify transcripts and documents, confirm credential completion and equivalency, convert grades as needed, and ensure English language requirements are met.   

For non-admit decisions: applications can be moved directly into non-admit decision bins (Deny, Waitlist, Withdraw). Applicants will be notified that there is a decision letter in their portal. 

Verify Transcripts + Documents

Official transcripts are required to confirm credential completion and admission eligibility. Applicants must submit transcripts from all post-secondary institutions, though many programs allow unofficial transcripts for initial review and require official versions only after an admission offer (conditional admission). 51社区黑料graduates may submit an unofficial 51社区黑料transcript.

What Qualifies as an Official Transcript? 
  • Transcripts must be official and sealed by the issuing institution, and sent directly to Graduate Studies or delivered by the applicant in the original sealed, undamaged envelope.
  • The name on the transcript must match the application. If different, official name change documentation must be provided.
  • Transcripts must clearly state: dates of attendance, courses taken, grades/marks, a key/legend explaining the grading system.
  • Transcripts issued in languages other than English or French must be accompanied by a certified translation. 

The following are not accepted:

  • Credential evaluation summaries (e.g., from WES, ICES) cannot replace official transcripts.
  • Transcripts forwarded from personal email accounts will not be accepted.
Exceptions to the Sealed Envelope requirement

Certified Translation: if a sealed transcript is sent to a translator, the translator must return:

  • A statement confirming receipt of a sealed original.
  • The original transcript (unaltered).
  • The certified translation, securely fastened to the original (stamped or sealed).

Border Inspection: if a customs or border official opens the envelope, there must be a clear marker (e.g., stamp, tape, or official note) indicating this action.

Electronic Transcripts:

  • Canadian Institutions: may be submitted directly to gradap@sfu.ca via secure platforms (e.g., Parchment), in accordance with the national exchange agreement.
  • International Institutions: must be submitted through a secure system (e.g., Parchment) directly from the issuing institution to gradap@sfu.ca.

The GPA should do the following:

  1. Verify - ensure the transcript qualifies as official and includes required credentials.
  2. Stamp reciept - use academic unit date stamp.
  3. Confirm credential completion ("degree awarded' and credential type).
  4. Identify grades 鈥 determine which grades count toward the CGPA. Check If Needed 鈥 if grades are clearly above 3.0/B, a full calculation is not required. 
  5. Convert CGPA - use approved conversion tools only
    1. Review International Records 鈥 use the International Requirements by Country to assist. 
    2. If CGPA is below the minimum, explain the recommendation in the Admission Recommendation Form.
  6. If from a Fast Track institution include a brief rationale on the Admission Recommendation Form, supporting the applicant鈥檚 academic merits.

If an official transcript is received by Graduate Studies prior to an offer of admission, GS will:

  • verify the transcript
  • upload it to goGRAD/Slate
  • forward hard copy to academic unit

If a student is admitted and must still provide one or more official transcripts, these will be a service indicator (as a condition of their admission). Units must forward any transcripts that are meant to meet conditions to Graduate Studies, so that Graduate Studies can verify them and remove the condition(s) on the student鈥檚 account 鈥 follow these steps:

  1. Verify that you have received the transcript officially (sealed envelope, seals/stickers/signatures intact, no tampering), and that any required credentials are awarded on the transcript. If not, follow up with the student to request a final transcript showing completion
  2. Stamp it with an incoming date/academic unit stamp or similar
  3. Scan and send the transcript to gradstdy@sfu.ca and provide the student number
  4. Graduate Studies will then update the student鈥檚 conditions in goSFU
  5. The transcript may then be filed at the academic unit in the student鈥檚 file

If an official transcript is received by Graduate Studies, GS will:

  • verify the transcript,
  • remove any related service indicators,
  • forward hard copy to academic unit.

Convert Grades

Minimum cumulative grade point average (CGPA) requirements are listed by credential type in Graduate General Regulations (GGRs) 1.3.4 to 1.3.7. If CGPA is below the university minimum, units will need to provide an explanation in the Admission Recommendation Form.

Confirm Credential Completion + Equivalency

To confirm degree completion, the transcript should clearly state that 'Degree Awarded' (or equivalent language) and the credential type and conferral date.

  • If the required credential is still in progress (e.g., a Bachelor's degree in progress for a Master鈥檚 application), the applicant should be informed that a final transcript showing degree completion will be required later.
  • If degree completion is not mandatory for admission, a final transcript that does not show a credential awarded is acceptable.

Credential Equivalency to 51社区黑料(Fast Track)

SFU's Graduate General Regulations (GGR 1.3 Admissions) addresses credential equivalency by requiring applicants to hold a bachelor's degree from 51社区黑料or its equivalent from a recognized institution. Equivalency is typically based on the most recent credential; Fast Track institutions are automatically accepted with a brief rationale, while non-Fast Track institutions require a detailed justification of the applicant鈥檚 qualifications.

English Language Requirements

51社区黑料requires all graduate applicants to meet minimum English Language Proficiency (ELP) standards before starting their programs, as challenges with proficiency can impact academic success. Programs may set higher standards or request additional proof of proficiency for any applicant - domestic or international - if there are concerns. Applicants who do not meet minimums may be recommended for Conditional Admission, requiring further language testing or coursework, with specific conditions noted in the Admission Recommendation Form.

false or incorrect declarations

False or incorrect declarations may result in delays or revocation of admission. Units should review carefully and reach out to the applicant if a declaration seems inconsistent with the applicant's profile.

For updates to language information

The applicant should contact GS with related information, including confirmation they made an error. Applicants who have had to manually change their English/other language information will normally require manual verification of their TOEFL/IELTS as well.

Watch for Fraud Report + Suspicous Documents

Do not deny applications based solely on Slate's Fraud Report, as it highlights potential issues that may require further review. The report is accessible in the left menu of an application and viewable by all users/readers.  

The following can be indicators of fraudulent documents and should be reported to Graduate Studies for investigation:

  • Transcript seals are not secured/envelopes appear to have been modified.
  • Transcripts appear different than other documents received from the same institution.
  • Photocopies can sometimes be indicative of fraud, but in some countries their use is routine 鈥 forward documents to Graduate Studies.
  • Photos/information on English language test sheets do not appear to be the same person.

 

  • Referees who are personal contacts (e.g., family or friends) rather than professional, supervisory or academic references. 
  • Referees using non-professional email addresses (e.g., Gmail, 126.com).
  • Letters are not addressed to SFU, are unrelated to SFU鈥檚 programs, do not name the applicant, or names do not match the referee information provided by the applicant.

 

Committee Review

The Committee Review (Review Form) bin holds applications ready for committee review and is linked to your unit鈥檚 customized Reviewer Form. To access the Review Form, applications must be in this bin and in a reader鈥檚 queue. Applications can be assigned to multiple reviewers, and units may add them to queues or allow self-assignment. Graduate Program Chair (GPC) Review

In Slate, the GPC Review bin is where the Graduate Program Chair reviews applications after initial screening by staff/faculty.  At this stage, users typically review the full application, supporting documents, and transcript details, evaluating the applicant鈥檚 academic qualifications, research fit, and references. This bin contains the Admission Recommendation Form, which the GPC completes and includes any conditional or funding text prior to submitting to Graduate Studies for processing. 

Complete the Recommendation Form

Use Slate's GPC Review bin to complete and submit the Admission Recommendation Form. Subsequent sections of the form will change depending on your responses. 

Step 1: Ensure application is in the GPC Review bin + the users's Queue
From inside the application, click the Review Form/Send to Bin button (bottom right).

Step 2: Complete the Admission Recommendation Form 
Form questions and sections are dynamic and will change depending on your responses. 

Conditional admission: this must be used when an applicant needs to provide one or more documents or transcripts, or their current required credential is not yet complete. Standard text is provided below for you to copy,paste and edit. You must be specific when outlining conditions (e.g. course or grade). 

Unconditional admission is rare: it can only be used when an applicant meets all university minimum requirements and has submitted all official supporting documentation.

Admission funding offers: funding text is automatically generated based on the amounts entered in the Year Total fields. Once these amounts are entered, you will be able to select from a choice of standard funding statements. 

To invite a candidate to apply for a University-Wide Entrance Scholarship you must check the box for the related award. The candidate will receive a message inviting them to complete a scholarship application. You can review and select your final nominee at a later date.  

Step 3: Submit the form to the GS Review bin 
At the end of the Admission Recommendation form, use the drop down to move the application to the GS Review Bin. If another reader is listed on the application, you cannot move the application until that reader has been removed or has submitted their form.

tips for using the GPC Review Bin

Log on to (use your SFU  + MFA)
  1. Click on Browse and the GPC Review (Admission Rec Form) bin to display applications ready for final review.
  2. Click on the row for each application you wish to review (row will highlight in blue) 
  3. Click Add to Queue. This will move applications to your personal Queue. 
If applications are already in your Queue:
  1. Click Queue 
  2. Click on an application to open it.
  3. Click Review Form/Send to Bin (bottom left) to open the Admission Recommendation Form. The form only appears when the application is in the GPC Review bin and the user has the application in their queue.
  4. The GPC role can move applications directly to other bins, including the Deny, Waitlist or Withdraw bins.
  5. When the Admission Recommendation Form is complete, the application must be moved to Graduate Studies Review bin for processing.

C41 - Transcript Conditions (if current degree needs to be completed)

Your admission is conditional upon 51社区黑料receiving your official transcript from [University Name] showing that your [degree name] has been duly awarded. This transcript is due before enrolling in your second term. Once your degree has been awarded, please arrange for an official transcript to be sent directly from the institution to the Faculty of Graduate Studies.

C41 - Transcript Conditions (only official transcript needed)

C41 - Transcript Conditions (multiple transcripts needed)

Your admission is conditional upon 51社区黑料receiving your official transcript from [University] showing that your [Master's] degree has been duly awarded, your official transcript from [University] showing that your [Bachelor's] degree has been duly awarded and your official transcript from [University]. These transcripts are due before enrolling in your first term. Please arrange for the official transcripts to be sent directly from the institution to the Faculty of Graduate Studies.

C43 - English Language Requirement Conditions

Your admission is conditional upon successfully meeting SFU's minimum English language requirements and submitting official language test scores before enrolling in your first term.

C44 - CGPA and/or Course Conditions

  • You are required to maintain a X.XX term GPA in each of the first two terms of the program.
  • You are required to complete and achieve a minimum grade of ____ in each course in the first two terms of your program.
  • Your admission is conditional upon successful completion of X course(s) with a minimum grade of X in [term 1 OR first 2 terms] of the program.
     

C44 - Accelerated Master's

Your admission is conditional upon completing your 51社区黑料Bachelor鈥檚 degree with a minimum 3.33 CGPA before enrolling in your first term. You are required to complete [course name] and achieve a minimum GPA of 3.5 or higher. Requirements are to be completed by [Month Year/term].

Please note that your admission under the Accelerated Master's pathway allows you to apply up to ten units of graduate coursework toward your degree requirements for both the Bachelor's program and the Master's program in the (academic unit).

Your admission is conditional upon successful completion of your X degree from 51社区黑料.

Admission Funding Offers

Simple (1 yr)
Your admission offer includes financial support of at least $XX,XXX for the first year from various funding sources. Additional scholarship funding may be available and can be applied for.

Various sources (x per yr) 
Your admission offer includes guaranteed minimum funding of at least $XX,XXX per year over X years while you are in the graduate program. Financial support comes from a variety of sources including research funds and teaching assistantships (TA), graduate fellowships (GFs) and external and internal scholarships. PhD Guaranteed Minimum (only appears for PhD admissions)

Your admission offer includes guaranteed minimum funding of at least $XX,XXX per year over 4 years of various sources. Specific details about your funding will be provided by your department/academic unit. Your admission offer includes the terms outlined in the Graduate Admission Handbook and section 1.17 of the Graduate General Regulations.

No funding (exception)

Units should only select this option if there is a valid reason to not provide funding (ie., master's student, student is a working professional, has declared a funding source in the PhD declaration form).

Minimum Funding 

Visit Minimum Funding (GGR 1.17). 

Unless otherwise stated in your unit鈥檚 policy, funding from various sources count towards the minimum.

Invite Entrance Scholarship Candidates 

In the Entrance Scholarships section of the Recommendation Form, units can nominate top applicants for University-Wide Entrance Scholarships. Eligible awards will display automatically; selecting an award and moving the form to GS Review bin triggers an invitation for the applicant to submit supporting information.

Units then review and shortlist candidates each May, when prompted by Graduate Studies. Admission recommendations submitted after April 30 cannot be considered for University-Wide Entrance Scholarships (the option will no longer be available on the form).

Invited candidates receive the link to the public facing Entrance Scholarship page. 

Post Decision (letters, admission acceptance)

Once an application reaches the GS Review bin, Graduate Studies reviews the file and either returns it for clarification or moves it to a Decision bin. Applicants then receive an automated notification to visit their Status Portal, where they can view and download their decision letter. Using the same portal, applicants respond by accepting (moving the file to the Accepted bin and paying a deposit) or declining (moving it to the Decline bin). After acceptance, programs should send a welcome letter with program details, funding information, and next steps.
