Introduced in Fall 2023, the PhD Research Scholarship covers tuition fees for eligible students enrolled in PhD programs.

  • Units do not nominate or process this scholarship; Graduate Studies does all processing.
  • Award records for this scholarship are only in go51ÉçÇøºÚÁÏand eTRACS Grad Student Funding Portal (post payment)

PhD Research Scholarship: Eligibility + Process

At the beginning of each term, Graduate Studies generates a list of enrolled PhD students and applies the following filters: 

  • Students beyond 12 active terms are excluded
  • Students with a CGPA below 3.00 are excluded
  • Students with unsatisfactory progress reports are excluded

All remaining eligible students are automatically offered the scholarship and must accept the award offer to receive the payment.

  • Awards are disbursed according to the standard payment schedule and policies, available here
  • Students who later receive a tuition waiver or withdraw from their program will have their PhD Research Scholarship payment reversed.

How to access Award Records in go51ÉçÇøºÚÁÏ(GS Award Download)

Use these instructions when you want a report on paid award records. The best time to run this report is the 5th or 6th week of the term, after all award adjustments have been made and any cancellations/reversals have been completed.

This same information is available in GA3 (go51ÉçÇøºÚÁÏsends the award status back to GA3).

Can't find the GS Award Download in goSFU?

Use the search bar or this navigation: Choose Menu → Financial Aid â†’ Awards â†’ Restricted Aid â†’ 51ÉçÇøºÚÁÏGrad Awards â†’ 51ÉçÇøºÚÁÏGS Award Download.

In , find the GS Award Download:

  1. Enter your Control ID (or hit Search and click your ID) and enter the desired Search Parameters. 
  2. Click Save and the Run button (top right)
  3. When directed to Process Scheduler Request, click OK
  4. When back on the GS Award Download page, click Process Monitor

On Process Monitor, your request should show in the Process List table and may take a few minutes (you can click refresh). When the Run Status changes to Success and Distribution Status will changes to Posted your report is ready.

To access and save your report:

  1. Click Details, then click View Log/Trace
  2. Click on the file name (will end with .csv) to open report
  3. Save as an xls

On GS Download, enter desired Search Parameters (see below), click save and run:

On Process Scheduler Request, click OK. On process monitor, click Details when your report shows success:

Term Codes

You can run a report for one term or a range:

  • 1237: Fall 2023
  • 1241: Spring 2024
  • 1244: Summer 2024
  • 1251: Spring 2025
  • 1254: Summer 2025
  • 1257 Fall 2025

Future terms won't exist in your report because only previously paid awards are stored in goSFU.

Appl Status (goSFU)

Leave this blank when you run the report to capture all:

  • ACC: accepted (not yet paid)
  • PSTD: posted (not yet paid)
  • DIS: award disbursed (paid)
  • CAN: Cancelled

Troubleshooting 

The award appears in the download (or eTRACS Grad Student Funding Portal) but with a $0 value

The award was paid and then reversed. The most common reason is because the student received a tuition waiver, making them ineligible.
