enter and submit award recommendations

For most competitions, units enter and submit award decisions on the Recommendations tab in GA3. Please note:

  • Only the GPC role has the Submit Recommendations button.
  • Ensure award values and pay terms are correct; you cannot change these in GA3 after you submit (doing so causes a system glitch). If you need a change contact gradawards@sfu.ca. 
  • Recommendations are generally due about a month before the payment term to allow for processing and acceptance time.

How to enter and submit award decisions on the Recommendations tab

  1. Select applications using the boxes on the left side of the menu.
  2. Use the Set Level Recommendations dropdown to apply a status to selected applications. Click the Set Recommendation button to apply the status.
    1. ALST – recommended for the award
    2. BLST – next to be considered, should more funding become available
    3. NREC – not recommended
    4. CAN – cancelled
    5. INEL – ineligible
  3. Use the Save Level Recommendation button to save your work.
  4. Use the Submit Level Recommendation button to submit to Graduate Studies.
  5. The statuses in the Lvl Rec column will turn GREEN when submitted (orange is saved not submitted).
Notes 
  • What happens next? Graduate studies checks the ALST applications for completeness and eligibility. We send the award offers OR facilitate the next level of review, if applicable.

  • Are students notified of their status? Once a GPC submits the recommendations the status populates through to the student side of GA3. Students need to log in to view their decision status. The only notification students receive from GA3 is an award offer email. 
  • Missed the deadline to submit recommendations? The GPC must contact gradawards@sfu.ca with an explanation and request to submit on their behalf. If the competition has another level of adjudication, late recommendations cannot be accepted. If the competition is departmental level adjudication, we will process when we have the resources to do so. This may result in late or missed payments to students.
