How to Read the Report

Report Types

NOIP

The "No IP" report includes taken (or completed) courses only. This report excludes courses that are in progress or assigned a DE (deferred), GN (grade not reported) or IP (in progress) notation.

ACDPR

The "All courses" report includes taken and in progress courses. The courses a student in currently enrolled in, also known as "in progress" courses, will show as completing requirements.

WHIF

The "What If" report includes taken and in progress courses as well as any user-specified "what-if鈥 courses or program simulations. If a student wants to transfer to a different program, this report can be used to show how their current courses will be used towards the requirements of the new program. 

Requirement Term and Program/Plan

The Requirement Term determines which 51社区黑料Calendar requirements the student needs to follow to complete graduation requirements. It is essentially the year and term associated with a program or plan. For this reason, it is very important to ensure that a student鈥檚 requirement term is consistent with a given requirement set in order for the APR to report the correct set of calendar requirements. Departments need to be aware of when changes are made to their program's requirements and if the student is in the appropriate requirement term to generate an accurate graduate APR. 

Which programs show/do not show in the APR?

The APR shows active or on leave programs. It does not show discontinued or completed programs.

If a student is active in two graduate programs, or in an undergraduate and graduate program, both programs will show.

To navigate to the Program/Plan screen follow this path:

Records and Enrollment > Career and Program Information > Student Program/Plan

In Progress Courses, Capstone Courses and Course Repeats

The APR assumes in progress courses will be completed and counts these towards completion. Capstone courses will display as 鈥楽atisfied鈥, even though the course is still in progress.

If running the ACDPR report, it assumes students will successfully complete any course(s) in which they are currently enrolled (in progress) and will count these courses towards completion. If running the NOIP Report, it excludes in progress courses or courses with an assigned DE. 

Repeat courses

The PDF version provides repeat course data at the bottom of the document under course history (as shown in the example below). The course history section is only available on the PDF report and it shows all courses taken at SFU, including undergraduate courses. The courses are sorted by the course subject and number which makes it easy to find courses that have been repeated.

Report Structure

The APR is laid out in a hierarchical structure which consists of unique identifiers:

  • Academic Requirement Groups (RG)
  • Academic Requirements (R)
  • Line Numbers (LN锛

Unique Identifiers 鈥 RG, R and LN numbers are used throughout the report to give each requirement listed a unique identifier:

Online Report

The APR report that loads on screen is known as the online report. In this version, requirements that are satisfied are collapsed; requirements that are not satisfied are expanded. Courses are live links that can be clicked for more information.

Requirement Status

Requirement Status: Satisfied or Not Satisfied

Satisfied or Not Satisfied text is included for each Requirement Group (RG), Requirement (R), and Line Number (LN) item to indicate whether the student has met the respective RG, R, or LN.

  • RG is considered satisfied if all requirements that fall under this group are complete. 
  • R is considered satisfied if all requirement line items that fall under it are complete. 
  • LN item is considered satisfied if the student has taken, has in progress, or planned all courses necessary to satisfy that requirement line.

Collapse and Expand Requirements

Requirement groups and line items can expand or collapse at their headers to show or hide their detail. By default, the satisfied requirements are collapsed and unsatisfied requirements are expanded. This allows users to focus on a student鈥檚 outstanding academic requirements, however, any RG or LN item can be expanded or collapsed by clicking on the arrow next to it as demonstrated below: 

In addition, a user can select the 鈥淓xpand All鈥 and 鈥淐ollapse All鈥 buttons:

Course Status

The following is a list of the course statuses and definitions used: 

Status Definition
In Progress Student is registered in the course.
Taken A course that has been taken and graded.

A legend of the course status icons (Taken, In Progress, Planned) is included towards the top of an APR as shown below: 

When the user hovers over the course status icons, a more detailed explanation appears ('Planned' status is not used for Graduate APR):

Column Sorting

All column headers can be clicked to apply an ascending or descending sort order.

Course Title Links

Every course title (underlined in blue) is a hyperlink to the Course Details page. This same content is available via Class Search and Course Catalog.

After clicking a "Course Title", the "Course Detail" information will display as follows:

PDF Report

Unlike the online report, the pdf report is static and does not have interactive features (no live links). When a batch request is run, only the pdf report is produced. The pdf report contains the same information as the online report, plus two additional sections:

  • Summary of the student's requirement term, programs/plans/subplans (at the top of the report)
  • Course history section (at the end of the report)

The pdf report opens from within the online report as shown below: 

Program Summary

At the top of the pdf report there is a summary section that lists the student's programs, plans, and subplans, along with the student's requirement terms and career status. This information comes from the "Student Program/Plan" page in SIMS.

Program Order

The pdf summary section always lists the career first and then follows with the program(s), plan(s) and/or subplan(s). 

If a student is active in two programs and each program has an associated plan and subplan(s) as follows:

  • Program A, Plan A, Subplan A1, Subplan A2
  • Program B, Plan B, Subplan B1

The summary information will be listed in the following order (see screen shot below):

  1. Graduate Career
  2. Program A
  3. Program B
  4. Plan A
  5. Plan B
  6. Subplan A1
  7. Subplan A2
  8. Subplan B1

The requirement term refers to the 51社区黑料academic calendar term that the requirements are based on. This is usually the term that the student started taking courses towards their program. Usually the program/plan/subplan requirement terms are the same.

  • If a student is readmitted to their program after being away, the requirement term doesn't change. 
  • If a student transfers from one program to another, normally the requirement term doesn't change. 
  • If the requirements for a program have been changed and a student has chosen to graduate under the new requirements, the requirement term will need to be changed.

IMPORTANT: When a student is active in more than one program (e.g. diploma and master's), the requirement status at the top (career level) will always show "not satisfied" even if one of the programs is "satisfied". This can also happen when a student has been admitted to their second program (i.e. PhD) during the term that the first program (i.e. master's) is being awarded. In this situation, it's best to look at the status within the report because this will be accurate. 

Requirement Status

The report indicates whether the Requirement Groups (RG), Requirements (R), and Requirement Line (LN) items are Satisfied or are Not Satisfied (this is similar to the online report):

Course Status

The course status column indicates the status of the course in full text.  These include:

  • Taken: Courses taken and graded at 51社区黑料(i.e. completed course)
  • In Progress: Courses the student is registered in
  • Other Credit: Includes exchange credit and transfer credit (e.g. WDA courses)
  • What-If: A course from the "What-If" functionality

Course History

The "Course History" section appears at the end of the pdf report and lists all courses taken or in progress at SFU, including courses taken towards an undergraduate program or a previously discontinued or completed program.

Repeat Codes Definitions

  • REIG: 鈥淩epeat include in GPA鈥 - Appears next to the higher grade of a repeated instance.
  • EXCM: 鈥淓xclude from GPA鈥 - Appears next to a repeat course with the lower grade of the repeated instances. The lower graded attempt is not included in GPA. EXCM does not appear on an in-progress course, as repeat processing is normally run after grades come in.
  • PETM: 鈥淧ermission granted鈥 - Appears on the highest graded instance when there are three attempts (two repeats) on a single course. This language is used because students can only enroll in a course a third time with departmental permission.
  • NONE: 鈥淣o rules followed鈥 - Only the Records office can use this code.
  • ILGL: 鈥淚llegal repeat鈥
