Below are troubleshooting tips for common issues. Please review the information below before contacting grad_apr@sfu.ca.
Report a Mistake, Error or Inaccuracy
If you discover an error or inaccuracy, email a description (and screenshot if possible) to: grad_apr@sfu.ca
The report is only available if the student meets all of the following criteria:
- is active or on leave (the report is not available for completed or discontinued students)
- is a doctoral student admitted Fall 2007 or later OR Master/Diploma/Certificate student admitted Fall 2011 or later
- is not an exchange, visiting research, qualifying, or non-degree student
You may need to configure your browser to allow pop-ups.
- Check that the requirement term is correct for that student
- If the student requested to graduate under new requirements, check to see if the requirement term has been changed
To check a student's requirement term, go to the PDF report and look at the summary section at the top:
OR visit the student's Program/Plan page in SIMS: Records and Enrollment > Career and Program Information > Student Program/Plan
If a student doesn't meet the minimum course requirements:
Look at the last requirement on the online report. It's named either '51ÉçÇøºÚÁÏMINIMUM: Completion of 30 units for a Master's program (GGR 1.7.2)' or 'All Courses Taken'. This requirement lists all the graduate courses (including capstone courses) taken towards this program. Courses without a passing grade or an enrolled status won't show. Check to see if there is a course listed here that should be used towards the 'not satisfied' requirement. |
Look at the Course History section at the bottom of the student's PDF report. |
We advise you to check the following:
- that all the grades have been posted (including a CO if the report type is NOIP)
- that if transfer credits (i.e. WDA) were approved that they have been posted
- if an undergrad course that was approved to be used towards the requirements is not being counted
- the grading basis of a graduate course that is not being counted (A course with a grading basis of S/U is not counted in some requirements; a course with a grading basis of ANC will not count in all cases)
- if the student was given a student exception (i.e. one course can be used instead of another course), check to see if this has been added to the report
NOTE: Report type ACDPR evaluates DE grades as complete. DE grades are configured in SIMS as ‘enrolled’, which means the course is counted on the APR for report type ACDPR like any other enrolled course. However, report type NOIP does not include enrolled courses and therefore will not include courses with a DE grade.
Go to the PDF report and check the Course History section to see if there are any courses that were repeated that don't have the repeat codes (EXCM, REIG, PETM); it may be that the repeat rule process hasn't been run yet; the grades for both courses will count until the process is run, which is usually soon after the grade deadline date.
GPA Rounding Policy
The APR displays rounded 2 decimal GPAs, in order to remain consistent with the Advising Transcript and other reports. However, the advisement engine program calculates GPAs internally when an APR is requested and there is no rounding done during this evaluation. Therefore, if a student, whose calculated GPA has been rounded up (e.g. 2.9956 becomes 3.00), runs a APR which has a requirement of a minimum GPA of 3.00, they will fail that requirement.
This should only affect students who are on the borderline of a minimum GPA requirement.
Confirm that only the necessary field(s) are filled in and the other fields are left blank. |
